Privacy policy

This page explains, in plain language, what personal data the Arvima Timesheet application collects, why we need it, and how it is handled. We keep this short on purpose so it is easy to read.

What we store

When you use the app, we store the following personal data:

• Your name and email address (used to sign in).
• Your timesheet entries: worked hours, break time, waiting and travel time, kilometres, overnight stays, and the written descriptions of the work you performed.
• Your digital signature confirming a submitted timesheet.
• The email address of your supervisor, so approval requests can be sent to the right person.
• A basic audit trail of submissions, approvals, and rejections (who did what and when).

Why we store it

We only use this data to run the time registration and approval workflow: letting you record your hours, allowing your supervisor and Arvima to review and approve them, and keeping the resulting records for administration and payroll.

Where it is stored

Data is stored securely in a Supabase database hosted in the European Union. Access is protected by authentication and row-level security rules so that employees can only see their own timesheets.

Approval emails to supervisors and to Arvima are sent through Resend, an email delivery service. These emails contain a secure, time-limited link that opens the specific timesheet being reviewed.

Sharing

We do not sell your data, share it with third parties for their own purposes, or use it for marketing. The only parties that see your timesheet data are you, your supervisor, and Arvima's reviewers — through the app and the approval emails described above.

How long we keep it

Timesheets and related records are kept for as long as they are needed for administration, payroll, and any legal retention obligations that apply. When they are no longer needed, they can be removed on request.

Your rights

You can ask to see the personal data we hold about you, to correct it, or to have it deleted where we are not required to keep it. Send your request to the contact address below and we will respond as soon as reasonably possible.
